Policies
Check-in time is from 3:00 PM to 6:00 PM or by other arrangement with advance notice. Check-out time is 11:00 AM.
We value your comfort, privacy, and peace of mind. All of the following policies are designed to make your time with us as well as the stay of other guests as pleasant as possible.
The ruggedness of our mountains and the design of our decks do not lend themselves to children. Accordingly, we can not accommodate guests or visitors under the age of twelve. For safety reasons, there can be no exceptions.
Our cabins are strictly smoke-free out of consideration for all those who have sensitivities to cigarette smoke. Please do not smoke inside your cabin or suite. Ashtrays are provided for the convenience of smokers on the decks and grounds.
Since some guests are allergic to pets, we do not allow pets on the property or in the yurt cabins.
Registered guests may invite up to two additional visitors per unit rented. Your visitors must be 12 years old or older, and they may not stay overnight. No more than 8 people may occupy a single yurt cabin at any given time. Registered guests who are being married on property may invite up to 8 people for the ceremony; however, the number of visitors remaining after the ceremony must comply with the limits set forth in this paragraph.
Sound carries forever in the mountains; therefore, in order to preserve the peaceful atmosphere at StoneWind, we do not permit ATV's, dirt bikes, or motorcyles at StoneWind. In addition to the noise problem, the steep gravel roads leading to the Retreat are unsuited to motorcyles.
Hiking at StoneWind Retreat and in the National Forest and the use of our facilities in general is at your own risk. No swimming is allowed in the lagoon or in any of the ponds. There is no life guard on duty.
StoneWind Retreat is blessed with an abundance of wildlife--deer, turkey, fox, hawks, eagles, road-runners, quail, and a wide assortment of other birds and critters. We protect and feed the wildlife for the enjoyment of everyone. We do not allow hunting on StoneWind property nor in the National Forest using StoneWind Retreat as a base.
Payment for Services
We require full payment for all reservations made within 15 days of your arrival date by credit card, debit card, or check. Full payment is required when booking Pre-Season Specials.
Payment by Credit or Debit Card: If you
reserve more than 15 days in advance, we require 50% of your total stay
to confirm the reservation, and the remaining 50% will be automatically
charged to your card on the 15th day prior to your arrival if not
otherwise received by that date. We accept all major credit cards and debit cards.
Payment by check or check-by-phone: We require full payment for all reservations made using these methods. For your convenience, we offer a "check-by-phone" option, a simple and secure method that allows us to process your payment from checking account information taken over the phone with a copy of the "check" sent to you as backup. The process is quick, secure, and convenient.
If you want to mail a check, you must reserve at least 30 days in advance and your check must be received within 10 days after making your reservation. For reservations made less than 30 days in advance, payment must be made using the simple and secure check-by-phone process.
Cancellation Policy: This policy is
intended to be fair to our guests yet prevent an excessive loss of
income to our business. Our remote, private location is an advantage
while you are here, but it also makes it difficult for us to re-book
rooms on short notice, and once we reserve a room for you, we remove it
from the market refusing all other requests.
If you cancel or reschedule a Regular Reservation 15 or more days prior to your arrival date, your deposit will be refunded less a $35.00 cancellation fee--or you may leave your deposit on file and apply it to another reservation one time within one year without incurring the cancellation fee.
Please Note: If you cancel or reschedule a Regular Reservation less than 15 days prior to your arrival date, your deposit will be charged for any dates of your original reservation that we are unable to rebook. If we must discount the cabin to rebook at the last minute, the difference between the amount of your deposit and the actual rental amount will be refunded less a $35.00 cancellation fee. You may also choose to leave your deposit on file and apply it to another reservation once in the ensuing six months without incurring the cancellation fee or risking us being unable to rebook your space.
This policy is not contingent on our availability at the time of cancellation. Once you reserve a cabin, we hold it for you, refusing all other requests. We frequently have to turn away people looking for multiple cabins, so cancellations in the last two weeks affect our business significantly. The only exception to this policy is the Inclement Weather Provision as detailed below.
To cancel or reschedule, you must contact us by phone and receive a cancellation number. If you attempt to cancel by email, do not assume your reservation has been cancelled unless we return your email with a cancellation number because your email may not have been received. We are not responsible for delays in cancellations caused by email problems. All rescheduling is subject to availability and pricing adjustments for the day of the week, seasonal rates, and special events. All refunds will be made by check payable to name on the card or check. There are no refunds for early departure, and all deposits placed on file will be forfeited if not used within one year.
Inclement Weather and Acts of God Provision. If you are unable to get here due to impassable roads, high water, or other acts of God, your deposit will be held on file and may be applied to another reservation for up to one year on the same number of days during the same rate season.
Reservations using a deposit on file under the Inclement Weather Provision must be made within 4 days of the intended arrival date of the second reservation. All reservations will be subject to availability and pricing adjustments for the day of the week, seasonal rates or special events. Deposits not used by last calendar date of the missed reservation are forfeited, and only one additional reservation may be made with the same deposit. If you cancel a second time for any reason, the deposit will be forfeited.
For example, you have a reservation for 2 nights on February 15 and 16th, 2010. On February 14, 2010, an ice storm makes the roads impassible and you cancel your reservation. We lose two nights revenue, and your deposit is placed on file. You may reserve another stay using this deposit between the dates of February 17, 2010 thru March 31, 2010 or through December 1, 2010 and February 17, 2010.
